The Sales Opportunity detail can easily become cluttered as more custom fields are added. Each trade type has a different process and different data requirements, and when you are still arranging the first meeting, no one needs to see invoicing fields. Conditional visibility allows you to display a custom tab, panel, or field only for selected types and statuses of a Sales Opportunity.
The feature is configured by an Administrator. The result is visible to all users who open the Sales Opportunity. This feature applies only to the Sales Opportunities module; all other modules remain unchanged.
Where to find the feature
Open the detail view of any Sales Opportunity.
Click the gear icon and select Customize window layout.
For a custom tab, custom panel, or custom field, open the actions menu (using the three-dot button) and select Set visibility.
If you haven’t customized the window layout before, we recommend reading the article Customizing the card layout.
How to configure visibility
For the selected tab, panel, or field, select Set visibility.
Choose one of the following options:
Tab / Panel / Field is always visible – the element will be displayed for all types and statuses. This is the default setting.
I want to select the Sales Opportunity statuses in which … will be visible – select the types and statuses for which the element should be displayed.
Save your settings.
When selecting specific options, at least one status must remain selected; otherwise, you won’t be able to save the settings (error message: “At least one Sales Opportunity stage must be selected.”). To remove the restriction, switch back to Always visible.
Tabs, panels, and fields with custom visibility restrictions are marked with the help icon Visibility based on Sales Opportunity status.
How visibility settings interact
Tabs, panels, and fields are nested: a tab contains panels, and panels contain fields. Therefore, a field cannot be displayed when the panel it belongs to or the tab it is on is hidden. The following rules apply:
Inheriting settings from the parent element. A panel or field without its own visibility restrictions is displayed according to the visibility of the tab or panel it belongs to. A new custom panel on a restricted tab will therefore only be displayed wherever the tab is visible.
More restrictive settings remain in effect. If a panel or field has its own visibility restrictions that are narrower than those of its parent tab or panel, those restrictions remain in place.
Content is hidden whenever its panel or tab is hidden. A panel on a restricted tab cannot be configured for statuses of Sales Opportunity types other than those assigned to the tab. The dialog will display the following message: “Panel visibility is restricted by tab visibility. Therefore, you cannot select statuses belonging to other Sales Opportunity types.”
Tab or panel settings apply to all their contents. If a tab or panel contains other panels or fields, Raynet will ask before saving: “Visibility settings will be applied to all content of the selected tab. Do you want to continue?” (for a panel, the message refers to “the selected panel”). After confirmation, the settings will also be overwritten for custom panels and fields inside it.
A panel moved to another tab inherits the visibility restrictions of the destination tab.
Required fields
Required status and visibility are two separate settings, but one rule applies: a field is always visible in every status in which it is required. Otherwise, users would not be able to fill in the required field. Raynet enforces this rule regardless of where you configure the required status — in the window customization settings or under Settings » Field Settings.
Here’s what this means:
If you make a field with restricted visibility required, a Field … dialog opens with the message “Select the conditions under which the field will be required:”. The statuses in which the field is visible are selected by default.
If you select a status in which the field was previously hidden, the visibility of the field, its panel, and its tab will be extended to include that status.
Selecting Field is always required makes the field required in all statuses and removes its visibility restrictions. The field will always be visible.
If you select no statuses, the field will not be required. Closing the dialog will not enable the required setting.
When you make a field without visibility restrictions required, it becomes required in all statuses without opening a dialog.
For a required field, the statuses in which it is required are locked and cannot be deselected. If the field is always required, all statuses are locked, so you cannot choose a custom selection.
You cannot configure the visibility of a tab or panel that contains a required field. Raynet will list the names of the required fields and display the message: “Visibility cannot be configured because the following fields are required: …”.
Whether a field is required in the detail view is checked according to the current type and status of the Sales Opportunity. In a status where the field is not visible, it is not required.
Moving tabs, panels, and fields
A required field (or a panel containing such a field) cannot be moved to a destination that is hidden in any status in which the field is required. Raynet will display the following message: “Field … cannot be moved to … because it is required in a status in which the destination is not visible.”
A non-required system field or panel can be moved. Before saving, Raynet will warn you that it may become hidden and may not always be visible.
You cannot restrict the visibility of a tab or panel that contains a system field. The following message will appear: “Visibility cannot be configured because the tab or panel contains system fields.”
What users will see in the detail view
A custom tab, panel, or field is displayed only when the current type and status of the Sales Opportunity match the configured visibility settings.
Tabs, panels, and fields appear or disappear immediately when the status changes, without requiring a page refresh.
If a tab, panel, or field has visibility restrictions and the Sales Opportunity has no type or status assigned, the element will not be displayed.
Limitations and things to watch out for
Only an Administrator can configure this feature.
The feature applies only to custom tabs, panels, and fields in the Sales Opportunities module. System tabs, panels, and fields, as well as all other modules, remain unchanged.
Conditional visibility is not yet supported in the mobile app; all fields are displayed.
IFRAME tabs and panels do not have the Set visibility action.
If you delete a Sales Opportunity type or status used in the configuration, Raynet automatically clears the related settings. Any tab, panel, or field with no remaining statuses will then always be visible. A field with no remaining required statuses will no longer be required.
If you only deactivate a Sales Opportunity type, Raynet will warn you that some tabs, panels, or fields may be hidden for active types and recommend checking their visibility settings.
The record creation form and the dialogs shown when changing a status do not filter visibility. They display the fields required for the selected status, which, according to the rule described above, are always visible.
Error messages and how to resolve them
| Message | Cause | What to do |
|---|---|---|
| At least one Sales Opportunity stage must be selected. | You selected a custom configuration but did not select any statuses. | Select at least one status or choose “Always visible”. |
| Visibility cannot be configured because the following fields are required: … | The tab or panel contains a required field. | Adjust the field's required setting first, or move the field elsewhere. |
| Visibility cannot be configured because the tab or panel contains system fields. | The tab or panel contains a system field. | Move the custom field to a custom panel that contains no system fields, then restrict its visibility. |
| Field … cannot be moved to … because it is required in a status in which the destination is not visible. | The destination is hidden in one of the statuses in which the field is required. | Extend the destination's visibility or choose a different destination. |
| Panel visibility is restricted by tab visibility. Therefore, you cannot select statuses belonging to other Sales Opportunity types. | A panel cannot be visible where its tab is hidden. | Select only the statuses of types in which the tab is visible. |
