You can send Quotes and Sales Orders directly to your Accounts from Raynet. The Account will receive them via e-mail in PDF format. This feature is available only in the paid version.
Tip: You can customize Quotes and Sales Orders exactly to your needs by using Custom templates. Sending a custom template differs slightly. The procedure is described in the second part of this article.
Sending an Quote and Sales Order
An Sales Order and an Quote are sent in the same way. We will demonstrate with an example on the Sales Order card. On the detailed Sales Order card, click on three dots » Send Sales Order by e-mail.
In the following window, you can change the Recipient, add a Cc or Bcc. You can also add text and choose the type of export (with images or without, with product descriptions or without).
If you have an Sales Order or Quote linked to a Contact person, it will automatically be pre-filled as the recipient. If you only have a Account, the email recorded for them will be filled in. If neither record has an address filled in, you can manually add the address. You can also write your text in the email, or Set footer for the email, which will be displayed in these emails.
Important: If you want to send an Quote or Sales Order directly to multiple addresses, just add them to the Copy.
In the received email, the recipient will see that the email was sent via Raynet.
If the customer decides to reply to your email the email will come to you, that is, to the address you use to log in to Raynet.
Tip: In emails that are sent via Raynet (when you send an Quote, Sales Order, or invoice), you can set your signature. Check out the step-by-step guide on how to set up your signature in a separate article.
Sending a custom Quote and Sales Order template
How to send a custom Quote and Sales Order template will again be demonstrated on the Sales Order card. The custom Sales Order template needs to be exported to PDF and then inserted into Attachments.
Then the procedure is the same as with system templates. Click on three dots » Send Sales Order by e-mail. In the following window, you will see the option to send Optional attachment.
You can send Quotes and Sales Orders to your customers directly from Raynet. They receive them by email in PDF format.
Tip: You can customize Quotes and Sales Orders to your liking. Custom templates are available just for this purpouse. So if you do not like the default Quote and Sales Order design, be sure to try creating your own template.
Sending a quote and sales order
Quotes and Sales Orders are sent in the same way. We will show an example on the Quote detail. Click the three dots » Send quote by email.
In the next window, you can change the Recipient, add a Copy or Bcc. You can also add text and choose the export type (with or without pictures, with or without product descriptions).
If you have the Quote or Sales Order linked to a Contact, they will automatically be added as the recipient. If you only have an Account linked, the Account email address will be added. If you do not have the email address filled in for either record, you can fill it in manually. It is also possible to add your own text to the email, or edit the email footer that will be displayed in these emails.
Important: If you want to send the Quote or Sales Order to multiple email addresses right away, just separate the individual email addresses with a comma in the Copy field.
The recipient will see in their inbox that the email was sent via Raynet.
If the customer decides to reply to your email, the email will be sent to you, i.e., to the email address you use to log in to Raynet.
