On the detail card of the Quote and Sales Order, you can perform several actions. You will find options for exporting or sending the Quote via email, duplicating it, or deleting it. All actions can be displayed by clicking on the three dots. In this article, we will show the individual actions on the Quote.
Send the Quote via email
The Send the Quote via email button is used to quickly send an email with attachments. After clicking it, a dialog box will open where you can use the checkboxes to select optional attachments to send.
If a Account and a Contact Person are linked to the Quote, the email will be sent to the Contact Person’s email address.
Duplicate and duplicate to another Account
After clicking the option Duplicate, an Quote will be created with the same information. You can choose whether you want to just Duplicate the Quote or Duplicate it to another Account. In this case, you need to select another Account in the dialog box and choose whether you want to create a new Deal for the Quote or select from existing Deals. The Quote can be Duplicated with attachments.
Change code
If you need to change the code on the Quote, you can use this action. The new code must be unique.
Export
By clicking the Export option, you can export the Quote in PDF or XLSX format. You can choose from system templates or create Custom templates for export.
Security
By pressing the Security button, a window with system information will appear.
You will find out who created or modified the record and when. You can lock any record you have access to, preventing other users from editing it. The owner of the record or the Administrator can unlock it. Additionally, you can set the Security Level in this window. If you are interested in who is authorized to see this record, you can check it using the Record visibility function.
Refresh
It may happen that multiple users are working on the same record simultaneously. By performing the Refresh action, you will see the current version of the Quote, including any changes made by other users in the meantime.
Invalidate
If you Invalidate a Quote, the record will no longer be visible in the list view of Quotes.
To view invalidated Quotes in the list view, you first need to pin the Validity filter. Click the button with the pencil icon Add another filter » Validity. Then click this button and choose whether you want to display only invalid Quotes or all Quotes including invalidated ones. Invalid records differ from others by being shaded gray. You can learn how to restore the validity of a record in this article.
Delete
A Quote can be Deleted, and thus permanently removed, only if it is not linked to any other records. If you want to remove the Quote but keep its links intact, use the Invalidate function.
Deletion and invalidation are discussed in more detail in this article.
Customize window appearance
With this function, you can create tabs, panels and customize their appearance and location. This setting can be configured by the administrator of the account and applies to the entire CRM account. In the editor, it is also possible to modify some system fields. More about this function is discussed in this article.
Return to the old version
This function Quotes the option to switch to the old version of the detail window of the Quote. You can still temporarily work in this old version.
