The Contact Person record is used to track specific individuals you communicate with at individual companies or clients. It lets you store their contact details, track communication history, and link them to deals/opportunities or other activities.
This way, you have all key information about people organized in one place, and you can effectively manage relationships with customers and partners.
Left-side panels
On the left side, you’ll find a basic overview of the Contact Person. Here you can see their name, company, contact details, social media links, and address. It’s designed as a quick reference and provides access to the most important information about the contact in one place.
In the Basic information panel, you’ll find who the Owner of this Contact Person is, along with the Category, the Original lead, Note, and Tags. On the Personal information tab, you’ll find additional details about the Contact Person, such as Gender, Date of birth, Marital status, or preferred Salutation.
Next upcoming and most recent completed activity
This panel shows the Next scheduled activity coming up, as well as the Most recent completed activity. This gives you an immediate overview of what still needs to be addressed and what has already been completed.
Attachments panel
The last panel, Attachments, is used for storing files related to the Contact Person. You can upload, for example, documents, contracts, or other supporting materials that you want to keep neatly stored with the Contact Person in one place.
Center panel
The center panel contains several tabs you can navigate between, reorder, or set as the default panel. On the far right, you’ll find a gear icon you can use to customize the layout. Next to it, you’ll find Discussion, where you can leave other users a message about the Contact Person. Users must be added to the Discussion first.
Timeline tab
On the Timeline tab, you’ll find a chronological overview of all activities and events associated with the Contact Person—what has already happened as well as what is still coming up. By clicking the green +Add button, you can easily create a new activity. Next to it, there is also an Export button, which you can use to download the overview.
Associated records tab
This tab displays all associated Activities, Deals/Opportunities, Quotes, Orders, Projects, etc., that you have already completed with the Contact Person or that are still ahead of you. You’ll also find client relationships and Attachments.
You can work with the columns in the overview as needed. You can change their order by dragging, adjust the width as needed, and use the gray pencil icon to show additional columns or hide some instead. At the end of each row, under the three dots, you’ll find a menu of additional actions depending on the record type.
In the upper-right corner, there are three buttons: +Add activity, a button for Export, and a button to maximize the tab/view. Using the +Add activity button, you can create a new activity linked to the Contact Person, export the overview by clicking the adjacent button, and maximize the tab for easier navigation. You can then adjust the number of records using pagination in the lower-right corner.
GDPR tab
If you activate the GDPR add-on, this tab will appear for the Contact Person. It’s used to track legal bases and consents that allow you to process personal data.
Online signing tab
The Online signing tab appears if you enabled digital signatures from DigiSign under Settings » Add-ons. Here you’ll find all documents sent for signature. You can learn more about this feature in this article.
Notes tab
You can use the Notes tab to track important information related to the Contact Person. Notes take the form of "sticky notes" and can include text, links, attachments, and a visible preview. You can differentiate them using colors. We explain more about Notes in this article.
Custom fields tab
Custom fields are used to track additional information about the Contact Person, which you can tailor to your organization’s needs. Once you create a custom field, you’ll find it on this tab.
Side panels
The side panel shows summary totals for won/sold and in-progress/open deals linked to the Contact Person. At the top, you’ll also find the communication tone, which indicates how to communicate with the Contact Person.
