On the contact person record detail page, you have a number of useful actions available that make it easier to work with the contact. To see the full list of actions, click the three-dots/ellipsis icon. In this article, we’ll walk through the individual options and show what they’re used for.
Export
Click the Export option to export the contact person record details in PDF format. You can also choose an electronic/digital business card or a PDF business card.
Security
Click the Security button to open a window with system information.
There, you can see who created or edited the record and when. Any record you have access to can be locked to prevent other users from editing it. The unlock action can then be performed by the record owner or an administrator. You can also set the Security Level in this window. And if you want to see who is authorized to view this record, check it using the Record visibility feature.
Merge with different contact
If you happen to record the same contact person twice, you can merge them into a single record. We cover this feature in more detail in this article.
GDPR module
The GDPR module under the three-dots/ellipsis icon lets you anonymize a contact person’s data, or perform data export. For the GDPR module button to appear, you need to enable this add-on in Settings » Add-ons » GDPR. You can learn more about this feature in this article.
Refresh record
Multiple users may be working with the record at the same time. Using the Refresh record action displays the current version of the contact person record, including changes another user may have made in the meantime.
Deactivate
If you deactivate a contact person, that person’s record will no longer be visible in the contact person list view.
To display deactivated contact people in the list view, you first need to pin the Validity (active status) filter. Click the button with the pencil icon » Add another filter » Validity. Open the Validity filter » select Show only inactive/invalid. You can learn how to Refresh the record’s active status in this article.
Delete
You can permanently delete a contact person only if the record isn’t linked to any other records. If you want to remove a contact person but keep existing links/associations, use the Deactivate function instead.
We cover deletion and deactivation in more detail in this article.
Customize the window layout
This feature lets you create any tabs, panels, and customize their appearance and placement. This configuration can be done by the account administrator, and then applies to the entire CRM account. In the editor, you can also modify some system fields. We cover this feature in more detail in this article.
Switch back to the previous version
This feature lets you switch back to the original version of the contact person record detail page. For now, you can still work in this older version.
