Do you need to send a quote, contact your Account, or analyze inquiries? You can create a Task for all these activities in Raynet to keep track of your work. A Task always has one Author and one Resolver. You can schedule it for yourself or for your colleague. The Deadline helps you keep track of when the Task is completed.
Creating a task
The fastest way to create a Task is directly from the Calendar. Click anywhere in the Calendar or use the green plus button and select the activity type Task.
A dialog box will open, where you can fill in the Name, Resolver (or even Author), the Task context, Deadline, Category and Task Description. Using the checkboxes, you can mark the Task as completed or private, i.e. not linked to an Account.
Creating a Task from the Calendar has one big advantage, you can schedule follow-ups right away. Right-click the Task » Create Follow-up Activity.
If a Task relates to a specific record, for example, an Account, it is better to create it directly from the Account detailed card.
You can create a Task from the list of activities. That means from the Main Menu » Activities » Tasks » Green plus.
Another option is to use the main menu and select New Record, where you select Task. If you need to create multiple Tasks at once, use the list view. Select the records you want to create Tasks for and the +Create button will appear at the top. After clicking it, just select the Schedule Activity option. Tasks for multiple users
A Task in Raynet always has one Resolver. If you want to assign a Task to multiple users, you can duplicate it by clicking on the three dots » Duplicate. Then you just change the Resolver in the duplicated Task.
Tip: If you need to assign a Task to a group of users, it is better to use a different activity type, one where you can add multiple participants. In this case, we recommend using, for example, an Event.
For the Task activity type, you can easily swap the Author and the Resolver by clicking on the button with two arrows. The roles are automatically reversed.
Deadline and notifications
All notifications are set up through your name » My profile » Notifications.
The Resolver is automatically notified when a Task is assigned to them.
The Author is notified once the Deadline is set. They get a notification once the time for completing the Task is up.
In the Deadline notification settings, you can also choose whether the Author will be notified even if the Deadline has passed but the Task has already been completed, and whether the Resolver will also be notified about the Deadline.
Task reminder
In addition to notifications about the Deadline, you can also set Task Reminders. This is done directly in the Task detail via bell icon. Enter the date and time you want to be reminded, and it's done. The reminder is linked to the scheduling of the activity in the Calendar (not the Deadline). In this case, the person who sets the reminder will be notified (this can be both the Author and the Resolver). We cover this in more detail in this article.
