With Raynet CRM, you can send information about deals to the billing system iDoklad, where invoices will be created. This way, you save time by not having to re-enter records from one system to another.
How does it actually work?
- You can synchronize any deal in any state. If you want to synchronize only deals that are in the Won state, use the filter Status > Won.
- By exporting deals, Raynet will notify you that the import was successful. An invoice will be created in iDoklad.
- During the import, the match for the Company is primarily checked based on the Account's IČ and secondarily checked by the Account's Name.
- When sending, it is checked whether this deal has already been sent to iDoklad - each deal can only exist once in iDoklad.
Only an Administrator can enable synchronization.
Any user with permission to Export records can perform the export.
Synchronization is supported for Czech accounts in the Favorite and Premium plans, and for Slovak accounts in the Premium plan. It also works within the thirty-day trial version of iDoklad. You can find more information in the video and further in the article.
Enabling synchronization
In the upper right corner, click on Settings.
From the left menu, select Add-ons » Accounting » iDoklad. Choose Activate.
Enter the generated data from iDoklad. Also select Default document; whether the Invoice or Proforma invoice will be automatically selected when exporting the deal. Confirm with the Save button.
From now on, the option to export to the economic system iDoklad will be added to the list and detail of the deal.
Where can I find the pairing data in iDoklad?
First, you need to register an account with iDoklad.
Search through the gear icon in the left menu » Applications » API. Click on Generate API keys.
And copy both generated fields into the CRM.
Transfer of the deal to iDoklad
There are two ways to export deals from Raynet to iDoklad.
You can either export data in mass from the entire list using the Export » Export to iDoklad application button.
Or you can export only a single deal. In the detail of the deal you want to transfer to iDoklad, click the Action - Export button and choose Create invoice in iDoklad.
Confirm the issuance of a proforma or regular invoice.
After clicking, a confirmation message will appear, followed by a final status that the invoice has been created in iDoklad.
In the mass export window Labels are set, which the deals will receive - based on these, the user can get an overview of what has already been exported to iDoklad:
- Multiple labels can be added.
- You don't have to use any labels.
After the transfer, it will display Export completed:
- Number of successfully transferred deals » will receive a label for successfully transferred records.
- Deals that have already been transferred in the past (each deal can only be in iDoklad once) >> will receive a label for untransferred records.
- Deals without Products » will receive a label for untransferred records.
- If one of the deals is locked or the user is not allowed to change it, the entire export will be interrupted.
What does a transferred invoice look like in iDoklad?
Information about the Company will be stored in the Address Book, transferring the data that iDoklad allows, i.e., basic data from Accounts (CRM) to the Company tab (iDoklad).
If it is a Slovak Account, the VAT ID will also be transferred.
Information about the Account is always transferred only once; during repeated transfers of the deal, the information about the Company in iDoklad is not updated, only another Invoice is added to the Company.
Duplicate checks for Accounts/Companies are primarily performed against the IČ, secondarily against the exact name.
Values for Invoices are transferred from iDoklad Settings (e.g., number series, rounding, number of decimal places,...).
For example, there may be minor rounding differences compared to Deals (iDoklad only allows bulk discounts).
(Invoices from iDoklad can be downloaded into MoneyS3, MoneyS4, and MoneyS5, Pohoda, and Altus Vario through the import function for invoices and addresses.)
