If you want to enter more than one of your customers into RAYNET at once, use the import template. The import template is used to transfer directory data, Clients and Contact Persons, to the CRM. Only the Administrator can import data.
Click the Settings button.
From the left menu, click Import data from XLSX and select the template that suits you best (depending on the structure of your data).
The first template allows you to upload up to 6 Contact Persons to one Client and all data are within one table. In the second template you can insert an unlimited number of Contact Persons for one Client. Clients and Contact Persons have their own table.
Download the import template and fill it in according to the instructions found inside the template. Each cell can contain text (value) with a maximum length of 255 characters. Save the completed template and upload it back to RAYNET.
After uploading the completed template, a check of the uploaded data and the number of errors will be displayed.
Here you see a list of errors and their location in the template.
Correct the errors in the import template, save the file and upload it to RAYNET again.
If the import file is error-free, click the Start Import button.
If the file still contains errors that you didn’t correct, and you still click the Start import button, only the data that is without error will be imported into CRM.
It is possible to import up to 5000 clients at a time.
You will always import new contacts into the address book with the import template. The template does not update the contacts.
Delete import
If you did not fill in the template correctly and imported the data incorrectly, you can easily delete it. To delete again, go to Settings> Import data from XLSX> Delete import.
All you have to do is select the type of records you want to delete (Clients and Contacts, Leads or Products) and under which label (each time the records are received, they receive a label with the date and number of the import). All records to which no other records are linked will be deleted.
Import into optional fields
If you have already started using optional fields for Clients or Contact Persons, you can also import data into these fields via the import template. The import template cannot be used to update existing contacts with only the data in the optional fields. You always need to import new contacts.
Create optional fields first, and then download the import template. Columns with optional fields can be found in the template at the end of the table.
