If you use Quotes and Sales Orders in Raynet, you can synchronize them with a Deal. This will link them together, allowing these records to transfer data between each other.
So, for example, if you add Products to a Quote that is synchronized with a Deal, the change is automatically applied to the Deal as well. This eliminates the need to edit Products twice. You can only have one Quote or Sales Order synchronized with a Deal at a time.
How to synchronize a quote and sales order with a deal
First go to Settings » Record settings » and select Deal.
Enable Quote/Sales Order synchronization in the Deal settings.
Here you can also choose between full or partial synchronization. Click Edit Settings.
With partial synchronization, you choose from the following options:
- One-off transfer of product calculation from parent Deal when creating Quote/Sales Order
- When Quote/Sales Order concludes with a win, always ask to conclude Deal with a win as well:
- if the product calculation in Quote/Sales Order differs from the calculation in Deal
- if the product calculation in Quote/Sales Order is the same as the calculation in Deal
When this is all set up, create a Quote or Sales Order. The first option is to create a Quote or Sales Order directly from a Deal using the Add Quote (Sales Order) button. We will demonstrate this on a Quote.
In the Quote creation dialog box, select the option Synchronize quote with deal and Save.
You can also create a Quote from the Quote list. Click on the green plus, fill in the Quote name, select a Deal and Save.
You will then see information about the synchronization on the Quote detailed card. You can also Cancel the synchronization here.
On the Deal card, you will find the same information about the link to the Quote.
If you need to create another Quote (e.g., with a discount for your customer), you need to cancel the synchronization with the original Quote first. Then create the discounted Quote and sync it again with the Deal. The synchronized Quote (or Sales Order) is always marked on the Deal detailed card (see image).
If you also create a Sales Order, the system will ask if you want to replace the Deal-Quote synchronization with the Deal-Sales Order synchronization.
You can find an overview of all Quotes and Sales Orders on the Deal card, with the current synchronization being marked.
