Email Raynetting is the process of assigning email messages in the CRM system to records like Accounts and Contacts. This process can be done automatically or manually, depending on the User’s Settings.
Automatic Raynetting
If you have automatic Raynetting set up, emails are automatically assigned to existing CRM records by email address. The following scenarios can occur during this process:
- 100% match: If an email address is included in a record, the email is automatically assigned to that record.
- No match: If the email address is not in the system, a separate, unraynetted email is created.
- Multiple matches: If the email address is in multiple records, the email will not be Raynetted and will remain unraynetted until the user manually assigns it to the correct record.
If the user switches from manual to automatic Raynetting, the system will ask if they want to do the Raynetting process for all older unraynetted emails.
Tip: If you do not want specific emails to be transferred to Raynet and to be Raynetted, you can move them to a folder that is not connected to your inbox in Inbox Settings. A Raynetted email that is stored in Activities cannot be deleted from the CRM system because it is linked to the record history.
Manual Raynetting
Manual Raynetting is ideal when you need to have full control over linking emails in your CRM system. Unlike the automatic mode, it allows you to specify exactly which records the emails should be assigned to.
The system automatically provides context – it tries to predict the correct match, and then the user simply confirms it.
If Raynet cannot find the contact in the database, it is possible to create a new contact directly from the sender panel using the Create contact button. Under the arrow you will find other options, for example:
- Create contact
- Create account
- Create lead
- Link to contact
- Link to account
- Link to lead
Important: When Raynetting manually, only the specific email is Raynetted, not the entire contact. That meand that each email must be Raynetted individually.
Mass Raynetting
Mass Raynetting is used only when the user has manual Raynetting enabled and wants to process multiple emails at once. After selecting the desired emails, just click the Raynetting button and the system will automatically search for the corresponding records by email addresses. If a match is found, the email is assigned to the correct record. Otherwise, the email will remain unraynetted and must be matched manually. This process saves time and makes it easier to handle large amounts of communication.How to "unraynet" an email?
If you need to delete a Raynetted email from Raynet, just move it to trash and then empty the trash. This will permanently delete the email from the application. If you want to keep the email in your default email client, go to Inbox Settings » General rules and make sure that the synchronization of the move to trash and delete actions with your default email client is disabled.
