On the detailed card of any Activity (Task, Meeting, Event...), you can perform a variety of useful actions. To see them all, click the three dots.
Create Recurrence
Do you have regular team meetings, briefings, or perhaps weekly calls? The Create Recurrence feature makes it easy to set the interval at which an Activity should repeat. You don't have to create a new Activity every time. As soon as you set a recurrence for the original Activity, Raynet will automatically create copies of it at the intervals you set.
What can you set up in the pop-up window?
- Recurrence interval
- When the recurrence should begin
- When it should end (or the exact number of recurrences)
- Which day of the week the Activity should take place.
If you edit the original or copied (recurring) Activity, when you save it, you will have the option to change only the Activity you are working on or all future activities as well. So, for example, if you need to reschedule your regular Monday meeting, you can do it all at once.
Duplicate
To create a new Activity record with the same information, click Duplicate. Edit the duplicated activity in any way you want.
Export
Click the Export button to save any Activity to your computer in PDF format.
Security
Clicking the Security button will pull up a window with system information about the Activity.
It tells you:
- who created or modified the record and when
- who is authorized to see this record (Record Visibility feature)
- You can also set the Security Level in this window.
You can lock each record you have access to, preventing other users from editing it. It can then be unlocked by either you or an Administrator.
Refresh
The Refresh Record button is used to load the latest version of the activity. If more than one user is working on the activity at the same time, it will allow you to view the current changes made by other users. It is also useful if you want to check if you are working with the most up-to-date data.
Delete
The activity will be permanently deleted from Raynet.
Change activity type
The last feature we will cover in this article is the option to change the Activity type. You can find this action on the left side of the top panel - just click on the grey arrow next to the name of the current Activity Type. This will open a dialog box where you select the new Activity type in the drop-down box and confirm the change by clicking the Change button.
When you change the Activity type, some information may be lost. For example, if you change an Activity from an Event where you have multiple participants to a Task where there can only be two participants, the system will automatically remove the remaining participants. You will be alerted to this fact before the change is saved.
