In the User Authorization section, in addition to setting up the Role and Security Levels, you can also set various permissions for users who do not have the Administrator role. This enables or disables certain actions in Raynet.
These permissions include:
- unauthorized user's permission to view the Calendar activities of other users,
- permission to modify records,
- permission to delete records,
- permission to export records,
- Google synchronization authorization,
- permission to mass edit,
- permission to edit picklists,
- permission to view business relationship values.
Where to set user permissions
All permissions can be found in Settings.
Open the User Administration section and select a specific user.
Select the User Authorization section in the left menu.
Visibility of other users' activities
With Record Visibility or Security Levels, you can make it so users can't see other users' activities. See the included links for more information on setting visibility and security.
However, you can ensure that these users can at least see the scheduled time in another user's Calendar as part of their permissions. This is useful, for example, if they are scheduling Meetings for other users and they need to see the available slots in the Calendar.
You can set this up in User Authorization » Activity visibility in the calendar. Specify if the user will see the scheduled times for activities that they do not have permission to do anything with or if they will not even see the scheduled times.
Permission to modify records
As an administrator, you can disable a user's permission to edit records. You can specify whether the user can edit other users' records, whether the user can edit products, whether the user can unlock locked records, and whether the user can edit costs.
Permission to delete records
You can completely disable the users' option to delete records across Raynet. However, you can also only allow the user to delete owned records or to delete only selected types of records (e.g., records from Contacts).
Permission to export records
Another action you can restrict is exporting from list views and detailed cards.
Google synchronization authorization
This permission has to do with the option to synchronize contacts with a Google account. If you don't want users to be able to transfer their Raynet contacts to Google, simply uncheck this option.
Permission to mass edit
The Mass Edit feature allows users to change attributes for multiple records at once. If you disable this option, the user will not see the green Edit button.
To remove this permission, use the checkbox in the Permission to mass edit section.
Permission to edit picklists
If a user does not have the required permission, they will not see the edit option in picklists.
You can set this permission in the Permission to edit picklists section.
Permission to view business relationship values
Disabling this option will cause the user to lose access to the following information:
- Business Relationship Value, Open Deal Value, Closed-won in the group, and Open Deals in the group for Accounts,
- Business Relationship Value and Open Deal Value for Contacts,
- Product Sale Turnover and This Year Product Sale Turnover for Products,
- and also Project value, its costs, and profit.
View all users and their permissions
You can see an overview of all users and their permissions in the list view of user accounts. Just add Permissions to the visible columns.
You can also filter the list of users. This allows you to view only the users you are interested in at the moment, e.g., with a full throttle user role and a manager position. The saved filters can be shared with other administrators.
You can easily export the user list view. Just click on the three dots » Export. You can choose between exporting all columns or only the visible columns.
