If you need to import a large amount of data into Raynet, there are two options. The first one is using our import templates, which you will find in Settings » Other section » XLSX Data Import. Using these templates, you can mass import the following into your CRM system:
- Accounts along with contacts
- Leads
- Products (The Product template is also for updating)
If you need to upload other record types to your Raynet (Deals, Activities, etc.), a large amount of data that does not fit into the import template, or update existing records, then this becomes a more complex import process. This can be done using the API if you have a programmer available. We have open API Documentation available in Raynet, which can be found HERE.
Alternatively, our developers can import the data for you. In this case, it is a paid service and the price depends on the number of hours the developer spends on the analysis and import itself. In our experience, even the simplest import takes at least 4 hours. In this article, we will show you how to proceed in case you decide to go with this option.
What will be needed for the import?
Before the actual process can begin, we will need an NDA (mutual non-disclosure agreement) signed with a certified signature by an authorized representative of both your company and ours. We do not have any contract between us regarding the data you send us and by signing the NDA we guarantee each other that we will not disclose, sell, or provide your company's sensitive data to third parties.
Once the document is signed by both parties, we can get to work.
Import process
From your end, you need to provide the data, ideally in XLSX format, or another format such as CSV, XML or SQL.
Once you have the data set up like this, try to take the first row and add it to your CRM system so you know what the imported data will look like in Raynet. We need to know which fields from your document we will import into which fields in the CRM system.
Some fields in Raynet are required and cannot be left empty in Raynet after import. If you do not find certain fields in your Raynet, you can create them using Custom Fields. You need to provide information about the fields at the same time as the data.
We use secure storage for the purpose of transferring sensitive data to us, to which we will send you a link. Here you need to upload either a sample of your data (e.g., the first row of the import) or all data and explain or send screenshots of how you would like the records in your CRM account to look. Send us the link to the uploaded file.
Our developers will check your data, fine-tune the details with you and calculate the price of the import. We will also agree on an estimated date of the import. Due to capacity constraints, the implementation date may be affected by ongoing imports that have reached us before your import. The price needs to be approved by the relevant authority.
When we have all the data and your agreement to the price, we will perform the import of data into your account and issue an invoice once you have checked that everything is in order.
