Do you use Outlook, Gmail or Thunderbird? No need to change anything. Simply forward any email you want to keep in Raynet to the Email Assistant. It will transfer it and add it to a contact’s History (Account, Contact, Lead). Use the assistant to send both outgoing and incoming emails to Raynet.
Email assistant’s email address
The assistant's email address is unique for each instance and consists of your Raynet account name and the domain @mailmeto.raynetcrm.com. For example, "mycompany@mailmeto.raynetcrm.com (the domain can be different if you use Raynet in a different language.)
Find the assistant's email address by clicking your name » About RAYNET CRM.
You will see the name of your email assistant in this window.
How the email assistant works
By adding your Email Assistant's unique email address to your outgoing or incoming email, the email will be forwarded to your Raynet CRM. It is then added to the History of the contact that has that specific email address linked to them. (i.e., to an Account, Contact, or Lead). The imported email then looks like this:
If the Email Assistant does not find a contact in Raynet to which to assign the email, it creates a new Lead and assigns the email to it. Same as for a Contact or Account.
Important: Emails will only be transferred if you forward them from an email address that you have listed in Raynet as a login or alternative email address. Find out more about alternative email addresses HERE.
Transferring an outgoing email
When writing an email to your client, enter the Email Assistant's address in the BCC. The Email Assistant will copy the message into Raynet and link it to the correct Account and Contact.
Transferring an incoming email
Simply forward the email you received as an attachment to the assistant's email address.
In Outlook, click on the email you want to forward to Raynet. To send the email as an attachment, press Ctrl+Alt+F or click the three dots » Forward as attachment.
In Thunderbird, right-click in the body of the email you want to forward to Raynet and select Forward as » Attachment.
In Gmail, simply forwarding the email is all you need to do.
Linking an email to a specific record
To link an email to a specific Deal, Quote, Sales Order or Project, simply enter the record code anywhere in the subject line of the email. For more information about this, see our article HERE.
Sending an email to multiple recipients
- If the recipients of the email are in the To field, the email assistant will add the email to all recipients.
- If there are also recipients in the Cc, the email will be assigned to them in Raynet.
- If the recipients of the email are also in the Bcc, the email will not be added to their History in Raynet.
