With Emails in Raynet, you can see all the email exchanges you have sent to Raynet via the Email Assistant feature. You can also use Raynet to schedule Emails that need be sent out. These will then appear in your Calendar.
Emails and the email assistant
If you use the Email Assistant feature, that means, forward incoming and outgoing emails to Raynet, they are automatically recorded in the History (of Accounts, Contacts, or Leads).
A Notification about an email imported to Raynet via Email assistant (outgoing and incoming) looks like this:
Clicking the notification will take you to the outgoing email record detail. In the blue Record Context panel, you will find which Account, Contact, or Lead the email is linked to. It will be marked as already completed, and it will look something like this:
Creating an email
1. The easiest way to create an Email is directly from the Calendar. Click anywhere in the Calendar and select the activity type » Email.
2. It is possible to create an Email from the Activity overview (you can do this with other activity types as well). Go to the Main Menu » Activities » Emails » green plus.
3. If the Email relates to a specific record, for example, an Account, for whom you want to schedule an announcement, invitation, etc., we recommend creating the Email directly from the Account detailed card.
4. You can also create Emails in bulk from the Account or Contact list view. Just select the Accounts or Contacts you want to create the Email for. A green + Create button will appear. Clicking this button will open a drop-down box where you need to select the Schedule Activity option. For more information on mass Activity creation, see this article.
Sending an email
Raynet does not have its own email mailbox. Therefore, emails are not sent from Raynet directly, but Raynet does "instruct your email client to send an email". That means the email itself is sent from the email client you normally use (e.g., Gmail, Thunderbird, Outlook).
After you create the email, write the content of the email into the Email Description box. Then just click on the three dots » Send by Email. A window with your email client will open. From here you can send the Email the way you are used to.
Important: If you want the email to be sent out successfully, you should have a default email client set up in your device. This will ensure that the email client you are familiar with and use on a daily basis opens after clicking the button in Raynet.
Email action overview
In addition to the Send by Email action we mentioned in the previous section, You will also find the option to Create Recurrence after clicking the three dots. This will come in handy when you have emails you need to send out regularly.
Just like with the other activity types, you will find the Reminder feature here as well. Only the user who sets a reminder will be notified.
